The Church Calendar Policy is established to provide guidelines for the planning, execution, and adherence to the annual Church calendar at Evangelical Faith Church. The purpose of this policy is to ensure that all planned events, programmes, and activities are followed religiously, contributing to the spiritual growth and unity of the congregation. The pastors and elders are responsible for ensuring that the Church’s yearly calendar is carefully executed.
2. Calendar Planning and Approval
2.1. Planning
- The Church’s annual calendar (for 5 years consecutive years) shall be developed and finalised in line with the strategic plan of the Church during the year preceding the next 5 years of interest.
- The calendar will outline all major Church activities, including:
- Weekly services.
- Special events.
- Evangelism outreach.
- Conferences, seminars, and retreats.
- Ministry-specific programmes.
- Leadership meetings and training.
2.2. Review and Approval
- The proposed calendar will be reviewed and approved by the Urgent Mission Council and the Church’s senior leadership team (including pastors).
- Once approved, the calendar becomes the official guide for Church activities and must be strictly followed.
3. Responsibility for Execution
3.1. Pastors and Elders
- It is the responsibility of the Church’s pastors and elders to ensure that the calendar is strictly followed and that all scheduled activities are executed as planned.
- Pastors and elders shall:
- Monitor progress on calendar activities.
- Address any potential conflicts or changes in a timely manner.
- Ensure proper communication with ministry heads to facilitate smooth coordination.
3.2. Ministry Heads and Leaders
- Each ministry (e.g., children’s ministry, youth ministry, choir, etc.) is responsible for ensuring that their respective programmes and activities are carried out as per the approved calendar.
- Ministry heads are expected to liaise with Church leadership regularly to confirm readiness and progress toward upcoming events.
- Ministry heads must notify pastors and elders promptly of any challenges in executing calendar activities.
4. Adherence to the Calendar
4.1. Commitment to Timely Execution
- All Church members, pastors, elders, ministry leaders, and staff must commit to following the calendar without unnecessary delays or cancellations.
- Each planned event must be carried out on the scheduled date and time unless there is a significant reason for rescheduling.
4.2. Amendments to the Calendar
- While strict adherence is required, amendments or rescheduling may be necessary in exceptional cases (e.g., emergencies or unforeseen circumstances).
- Any changes to the calendar must be approved by the senior pastor and the Urgent Mission Council.
- If changes are made, they must be communicated clearly to the entire Church congregation through announcements, emails, and other appropriate channels.
5. Communication and Distribution of the Calendar
5.1. Church-wide Communication
- Once the calendar is approved, it will be communicated to the entire Church body through multiple platforms, including:
- Printed bulletins.
- The Church’s website and social media pages.
- Email or SMS notifications to members.
- Announcements during Church services.
- Church notice boards
5.2. Regular Updates
- Regular reminders of upcoming events shall be communicated during Sunday services, through announcements, Church bulletins, and other appropriate means.
- Ministry heads and leaders should also ensure that their team members are aware of and prepared for their scheduled activities.
6. Monitoring and Evaluation
6.1. Progress Monitoring
- The execution of the calendar will be closely monitored by the pastors, elders, and ministry heads.
- Regular leadership meetings will include a review of the calendar to ensure that all activities are proceeding as planned.
6.2. Accountability
- Pastors and elders are accountable for ensuring that their ministries and teams meet the deadlines and fulfil their responsibilities according to the calendar.
- Ministry heads are accountable to the senior leadership for delivering on their scheduled programmes and events.
6.3. Evaluation of Performance
- During summits and at the end of each year, the Church leadership will evaluate the execution of the calendar, identifying successes and areas for improvement.
- This evaluation will inform the planning of the next calendars, ensuring that the Church continually improves in its event management and ministry work.
7. Non-Compliance
- Any ministry leader or member who consistently fails to follow the calendar without justifiable cause may be subject to a review by the leadership team.
- Consequences for non-compliance may include additional training, reassignment of responsibilities, or disciplinary actions, depending on the severity of the issue.
8. Amendments to the Policy
This policy may be amended by Urgent Mission Council, in consultation with the Church’s senior leadership team, as necessary to ensure it remains effective and relevant to the Church’s needs.
9. Effective Date
This policy is effective as of January 1, 2025 and will be binding on all members of the clergy, ministry teams, and Church leadership.
